WE ARE

DG Communication (DG COMM), as a corporate communication service, promotes the policy priorities of the European Commission and contributes to bringing Europe closer to citizens. The Representations in all Member States play a crucial role in this. Their main tasks are:

• Support the President and the Members of the Commission by reinforcing the political and media profile of the European Commission in the Member States, including the preparation, organisation and follow up of visits of the members of the College. Representing the European Commission in the respective Member State towards national, regional and local authorities, media, stakeholders and citizens.

• Country-specific Economic and Political Information and Analysis: Representations provide the Commission with in-depth, accurate and timely information and analysis regarding relevant developments in the Member States and the views of the Government and, political parties, think tanks and civil society.

• Press and Media Communications: in cooperation with the Spokesperson's Service, Representations communicate on behalf of the Commission.

• Outreach to Citizens: Representations provide outreach and communication to citizens and stakeholders/multipliers in the Member States, by managing information networks and by explaining the policy priorities of the Commission in a local context.

WE PROPOSE

A challenging and stimulating position of Secretary to the Head of Representation to ensure the

secretariat of the Representation, to provide general support to the different teams and to

contribute to the good functioning of the Representation. Working directly with the Head of

Representation and other colleagues in the Representation, s/he will manage the Head of

Representation’s agenda, organise meetings, contribute to the preparation and smooth running of (Reference: Call for interest 469617)

high-level visits also from a protocol aspect, ensure effective management of functional mailboxes

of the Representation and prepare correspondence for the Head of Representation to internal and

external entities.

S/he will take minutes of meetings, organise trips, hotel reservations, transports, mission orders

and cost declarations, furthermore ensure the logistical support in the organisation of meetings,

lunches, exhibitions, conferences, visits including room reservations, preparation of the meeting

documents and provide information to visitors. S/he will need to liaise with the protocol service of

the European Commission and the Ministry of Foreign Affairs in case of high-level/VIP visits,

including The President of the European Commission and Members of the College. S/he will also be

called upon to contribute to document management in the Representation and to good

communication within the entity.

WE LOOK FOR

We are looking for a highly motivated, dynamic and flexible team player with proven skills in client

service orientation and attention to detail. University degree or vocational training in a field related

to the job would be an advantage. At least three years' experience in secretarial or administrative

assistance will be essential. Candidates should be aware of the priorities of the Commission, and

should be fluent in English and French, good knowledge of German and/or Luxembourgish will be

considered as asset. Excellence in written and oral communication and organisational skills is

essential as the Representation frequently is in correspondence with diplomatic partners on

different levels and the jobholder needs to be ready to interact with a wide variety of partners both

within and outside the EU institutions.

Salary at this grade

Basic monthly salary at FGII runs from €2,715 (step 1) to €3,072 (top step), giving an annual range of roughly €32,580 to €36,864 before tax and allowances. Steps increase automatically every two years; the figures here are taken from the salary grid in the EU Staff Regulations.

Eligible staff posted away from their country of nationality also receive an expatriation allowance worth 16% of basic salary (around €434 per month at step 1 of FGII) together with household, dependent-child, and education allowances where applicable. Net pay at this grade

At step 1 of FGII, gross monthly basic salary on the Contract Agents grid is €2,715. Eligible expatriate staff add a 16% expatriation allowance on top (roughly €434 per month) before two automatic deductions reduce the taxable base: the joint sickness insurance scheme (JSIS, ~3.6%, €113) and the EU pension contribution (~10.3%, €324). EU community tax (Council Reg. 260/68) is then applied progressively; for the AD7-equivalent band the effective rate sits in the 11 to 13% range, which works out to about €325 per month here.
Luxembourg carries a correction coefficient of 100.0% (Article 64 of the Staff Regulations), so the net is multiplied by 1.00 to reflect the local cost of living. On those assumptions take-home pay is approximately €2,386 per month, or about €28,632 per year, before household and dependent-child allowances, which can add several hundred euros monthly for staff with families.
