WE ARE

DG Communication (DG COMM), as a corporate communication service, promotes the policy

priorities of the European Commission and contributes to bringing Europe closer to citizens. The

Representations in all Member States play a crucial role in this. Their main tasks are:

• Support the President and the Members of the Commission by reinforcing the political and

media profile of the European Commission in the Member States, including the preparation,

organisation and follow up of visits of the members of the College. Representing the

European Commission in the respective Member State towards national, regional and local

authorities, media, stakeholders and citizens.

• Country-specific Economic and Political Information and Analysis: Representations provide

the Commission with in-depth, accurate and timely information and analysis regarding

relevant developments in the Member States and the views of the Government and, political

parties, think tanks and civil society.

• Press and Media Communications: in cooperation with the Spokesperson's Service,

Representations communicate on behalf of the Commission.

• Outreach to Citizens: Representations provide outreach and communication to citizens and

stakeholders/multipliers in the Member States, by managing information networks and by

explaining the policy priorities of the Commission in a local context.

WE PROPOSE

The Representation in Ireland is seeking to hire a Contract Agent FG II to fill the role of

Administrative Agent to the Head of Representation.

The position will consist of:

• Providing administrative and organisational support to the Head of Representation;

- Take note and prepare meeting minutes; write and type correspondence of the Head of

Representation.

- Coordinate briefings for Head of Representation’s meetings and speaking engagements and search for specific and thematic documents.

- Supervise the preparation of all medium for meetings to which the Head of Representation (Reference: Call for interest 389552)

has to assist (including documental medium).

- Organisation of trips, hotel reservations, transports, mission orders and costs declarations.

• Providing administrative and organisational support to the Representation.

- Carry out various administrative tasks and monitor the use of Representation’s applications for document management, time management and missions.

- Follow-up of mail and emails of the Representation (recording, distribution, filling,

archiving), mailing lists management, updating of addresses databases.

- Ensure the good general administrative management of the Representation

• Contribute to a good communication within the Representation.

- Ensure the good internal coordination and communication between the Head of

Representation and the different sections.

• Ensure the logistical support in the organisation of meetings, lunches, exhibitions, conferences,

visits: rooms reservations, gathering of working documents as well as the follow-up (minutes

management, welcome and information to visitors).

WE LOOK FOR

We are looking for an administrative agent for the position of Secretary to the Head of Representation.

The ideal profile for the job is a highly motivated and enthusiastic individual with the following

skills to support and assist the Head of the Representation, in order to contribute to the good

functioning of the Representation:

• Strong organisational and administrative skills including the ability to provide operational

support, information and document management and communication and logistical

support.

• Ability to co-ordinate events and activities, notably in the primary role as secretary to the Head of the Representation

• Ability to work effectively with range of external partners, including Representation

contractors, Irish Government departments, embassies, stakeholders, journalists and

citizens;

• Ability to liaise with Commission headquarters, including Cabinets;

• Strong administrative skills, including note taking at meetings and ensuring the follow up of

actions;

• Strong IT skills, including Teams, SharePoint, Word, Excel and Outlook and ability to learn

new and existing Commission IT tools;

• Excellent knowledge of English (C1 level). Knowledge of Irish language would be an

advantage;

• Organisation of events and meetings, including with external counterparts;

Salary at this grade

Basic monthly salary at FGII runs from €2,715 (step 1) to €3,072 (top step), giving an annual range of roughly €32,580 to €36,864 before tax and allowances. Steps increase automatically every two years; the figures here are taken from the salary grid in the EU Staff Regulations.

Eligible staff posted away from their country of nationality also receive an expatriation allowance worth 16% of basic salary (around €434 per month at step 1 of FGII) together with household, dependent-child, and education allowances where applicable. Net pay at this grade

At step 1 of FGII, gross monthly basic salary on the Contract Agents grid is €2,715. Eligible expatriate staff add a 16% expatriation allowance on top (roughly €434 per month) before two automatic deductions reduce the taxable base: the joint sickness insurance scheme (JSIS, ~3.6%, €113) and the EU pension contribution (~10.3%, €324). EU community tax (Council Reg. 260/68) is then applied progressively; for the AD7-equivalent band the effective rate sits in the 11 to 13% range, which works out to about €325 per month here.
Dublin carries a correction coefficient of 115.1% (Article 64 of the Staff Regulations), so the net is multiplied by 1.15 to reflect the local cost of living. On those assumptions take-home pay is approximately €2,746 per month, or about €32,955 per year, before household and dependent-child allowances, which can add several hundred euros monthly for staff with families. Career progression for FGII staff is governed by Articles 44 to 46 of the Staff Regulations (consolidated text on EUR-Lex) and Annex IB on the promotion procedure. Step increases are automatic every two years (Art. 44); grade promotion is competitive, based on the appraisal exercise (Art. 45) and the Career Development Review.
