WE ARE

DG Communication (DG COMM) is the European Commission’s corporate communication service,

operating under the authority of the President. This makes our work dynamic and exciting as we

follow the daily political and news cycle.

We are the Media Monitoring and Analysis unit, and our mission is to inform the President, the

President’s Cabinet, other Cabinets, the Spokesperson’s Service and interested colleagues of the

latest developments in the traditional and social media. We produce daily news summaries and

real -time news alerts on the most important EU related and national news. We also provide in -

depth media analysis on longer -term developments and prepare media related briefings for the

executive service.

WE PROPOSE

Unit COMM.A.3 is seeking to hire an Administrative Agent for a divers secretarial position in a

friendly and easy -going team. Your tasks would include providing overall administrative and

operational support to the Head of Unit, her deputy and the rest of the team. You support the Head

of Unit with her agenda, organisation of meetings and missions, mailbox monitoring and follow -up,

collection and coordination of materials for briefings, files, meetings, presentations etc. You deal

with document management, ensuring that incoming messages and documents are attributed and

followed up within the deadlines. You also monitor and manage the unit´s absences records under

the supervision of the management. You ensure regular updates to different planning tools/tables

(absences, trainings, language courses, business continuity plan) and keep the documents and data

in the appropriate files or IT databases. You will also provide extensive administrative support for

HR matters, for instance selection procedures for the recruitment of statutory and non -statutory

staff through the preparation and follow -up of files and documents, meeting room reservations,

We offer an interesting and rewarding position to support key services in DG COMM (including the

Spokesperson’s Service) with secretarial support. The position offers regular interaction with

colleagues across the Commission, and external stakeholders. We value initiative, teamwork and

sound organisational skills, and encourage colleagues to take ownership of projects and contribute

beyond the core responsibilities of the post.

WE LOOK FOR

We are looking for an Administrative Agent who would be happy to use her/his secretarial skills to

provide support to a very friendly and motivated team with a great working atmosphere. Ideally

you have secretarial experience with a good knowledge of Microsoft Office tools (Word, Excel,

PowerPoint) and Commission IT programs (Sys per, Ares, MIPS). You will work hand in hand with the

HoU and her deputy to help them run the unit on a daily basis , organise meeting and other events,

prepare reports and liaise with colleagues in other parts of the DG. In addition to purely secretarial

work, there will be plenty of opportunities to get involved in HR and other tasks or to develop new

skills. We are looking for someone with a service -oriented , st rong teamwork attitude who is pro -

active and able to work independently .

The candidate should have excellent organisational skills, sound judgement and attention to detail,

and be capable of handling sensitive information with discretion while respecting tight deadlines.

Good English language skills, both spoken and written, are essential , knowledge of EU matters and

- Are a citizen of a Member State of the EU and enjoy full rights as a citizen

- Have fulfilled any obligations imposed by applicable laws concerning military service

- Produce the appropriate character references as to suitability for the performance of the duties.

Qualifications:

In order to be recruited for this position, you must have at least

- a level of post -secondary education attested by a diploma, or

- a level of secondary education attested by a diploma giving access to post -secondary

education , and appropriate professional experience of at least three years .

Only qualifications issued or recognised as equivalent by EU Member State authorities (e.g. by the

Ministry of Education) will be accepted. Furthermore, before recruitment, you will be required to

provide the documents that corroborate the eligibility criteria (diplomas, certificates and other

supporting documents).

Languages:

have a thorough knowledge (minimum level C1) of one of the 24 official languages of the

Salary at this grade

Basic monthly salary at AST-SC1 runs from €3,292 (step 1) to €3,725 (top step), giving an annual range of roughly €39,504 to €44,700 before tax and allowances. Steps increase automatically every two years; the figures here are taken from the salary grid in the EU Staff Regulations.

Eligible staff posted away from their country of nationality also receive an expatriation allowance worth 16% of basic salary (around €527 per month at step 1 of AST-SC1) together with household, dependent-child, and education allowances where applicable. Net pay at this grade

At step 1 of AST-SC1, gross monthly basic salary on the Secretaries/Clerks grid is €3,292. Eligible expatriate staff add a 16% expatriation allowance on top (roughly €527 per month) before two automatic deductions reduce the taxable base: the joint sickness insurance scheme (JSIS, ~3.6%, €137) and the EU pension contribution (~10.3%, €393). EU community tax (Council Reg. 260/68) is then applied progressively; for the AD7-equivalent band the effective rate sits in the 11 to 13% range, which works out to about €395 per month here.
Brussels carries a correction coefficient of 100.0% (Article 64 of the Staff Regulations), so the net is multiplied by 1.00 to reflect the local cost of living. On those assumptions take-home pay is approximately €2,893 per month, or about €34,720 per year, before household and dependent-child allowances, which can add several hundred euros monthly for staff with families.
